Data Upgrade User Guide
Overview
The Data Upgrade page displays a list of tables and fields that have been marked as obsolete in the system. As a user, you need to be aware of these changes and potentially take action to ensure your system continues to function correctly.
Understanding the Data Upgrades List
When you open the Data Upgrades page, you will see a list with the following key columns:
- Module: The system module where the obsolete table or field belongs
- Table No. and Table Caption: Identifies the table that is obsolete or contains an obsolete field
- Field No. and Field Caption: If applicable, identifies the specific field that is obsolete
- Replacement Table No.: If available, shows which table should be used instead
- Manual Reference Upgrade: Indicates if you need to manually update references
- Status: Shows the current status of the upgrade
- Directions: Provides specific instructions for handling this particular upgrade
When to Take Action
You should pay attention to any data upgrades with the following statuses:
- New: A newly identified obsolete table/field that needs processing
- Manual Reference Upgrade: Requires your manual intervention to update references
- Data Upgrade In Progress: A data migration is currently in process
- Reference Upgrade In Progress: System is automatically updating references
The most important items requiring your attention are those with Manual Reference Upgrade set to Yes that are not yet completed.
Available Actions
From the Data Upgrades page, you can:
- Check for References: This will search for places in the system that still reference the obsolete table/field
- Show References: View a list of specific references that need updating
- Show Job Queue: For automated upgrades, check the status of the background process
- Mark Completed: After manually resolving all references, mark an upgrade as complete
References List
If you click "Show References" or "Check for References," you may see the Data References page showing:
- Reference Record: Clickable identifier of the record containing the reference
- Reference Description: Details explaining what needs to be updated
Click on any reference record to open the relevant page where you can make the necessary changes.
Best Practices
- Regularly check the Data Upgrades page for any new items
- Prioritize items marked for manual upgrade
- Read the "Directions" field carefully for specific instructions
- After updating all references, use "Mark Completed" to finalize the upgrade
