Document Reports on WMS Documents

3PL Dynamics lets you open all document reports that belong to a WMS document from one place: the Documents action on the document card. From there you preview, print, e-mail or save the reports that are configured for that type of document, and you upload external documents that belong to it. The action uses the generic Document Reporting module, so the same templates, report definitions and Word layouts that you know from the Forwarding and Transportation apps now also work for warehouse documents.

This page explains where you find the action on the WMS document cards, how to configure which document reports are shown, and how the customer and language on the document report lines are determined for WMS documents. For the generic procedures (templates, categories, report definitions and layouts) see Configuring Document Reports and Using Document Reports.

Where you find the Documents action

The Documents action is available on the card of every open (not yet posted) WMS document. It sits next to the Print action; on the Receipt and Shipment cards it is part of the Print Documents split button, and on the Physical Inventory card it is the last action in the Process group.

Note

The action is not available on posted documents, on list pages or on the Air and Ocean section pages.

What you can do in the Documents dialog

Choosing Documents opens the Documents dialog with the document reports that are configured for the document. The dialog is the same as on the other documents that support document reporting:

  • Preview and Preview & Edit show the report on screen.
  • Print sends the report to a printer and updates the print history (No. Printed, Last Printed).
  • E-mail sends the report by e-mail.
  • Save Report as Record Link generates the report and attaches it to the WMS document as a record link.
  • Upload File attaches an external file, for example a packing list or a signed CMR, to an Input type document report.
  • Advanced Mode shows additional fields such as Language Code, Report Layout and Report Format.

See Using Document Reports for a full description of these actions.

Note

When no document report template is linked to the WMS documents yet, the dialog opens empty. This is not an error; configure a template as described below.

Set up document reports for WMS documents

Prerequisites:

1. Create a Document Report Template for WMS documents

  1. Choose the Lightbulb that opens the Tell Me feature icon, enter Document Report Templates, and then choose the related link.
  2. On the Document Report Template List page, choose New and fill in a Code and Description.
  3. In the Parent Table No. field, select the WMS document table (Document Header, object name WMS Document Header). All WMS document types (receipts, shipments, transfers, and so on) share this table.
  4. On the Lines FastTab, add the document reports and incoming documents that must be available.

You can link the template in two ways. Use the Document Report Table Setup when all WMS documents get the same set of reports, and a Document Report Template Strategy when the set of reports depends on the document type or on other values of the document.

One template for all WMS documents

  1. Choose the Lightbulb that opens the Tell Me feature icon, enter Document Reporting Setup, choose the related link, and then choose Table Setup.
  2. On the Document Report Table Setup page, choose New.
  3. In the Table No. field, select the WMS document table (Document Header). The Table Caption field is filled automatically.
  4. In the Template Code field, select the template you created.

One line per table is used this way. When different WMS document types need different sets of reports, use a strategy instead.

A template per document type

  1. Choose the Lightbulb that opens the Tell Me feature icon, enter Document Report Template Strategies, and then choose the related link.
  2. Choose New, and fill in a Code and Description.
  3. In the Table No. field, select the WMS document table (Document Header). Optionally, use the Table Filter field to limit the whole strategy to a subset of documents.
  4. On the Lines FastTab, add one line per document type: select the template in the Template Code field and set the Table Filter on the Document Type field, for example to Receipt. Use Priority, Valid From Date, Valid To Date and Criteria Function Set when a line must apply only in specific situations.
Tip

Give the most specific lines the lowest Priority number and add a general line without a table filter last, so that every document gets a template and the exceptions are handled first.

How the template is chosen

Each time you choose Documents, 3PL Dynamics determines the template for the document as follows:

  1. It checks the Document Report Template Strategies for the WMS document table. A strategy is skipped when its Table Filter does not match the document. Within a strategy, the lines are checked in order of Priority; a line is skipped when the work date is outside its validity dates, when its Table Filter does not match or when its Criteria Function Set does not apply. The first matching line provides the template.
  2. When no strategy line matches, the template from the Document Report Table Setup for the WMS document table is used.
  3. When neither is set up, the dialog opens empty.

Customer and language on the document report lines

The document reports of a WMS document are addressed to the customer of the document. When the lines of the Documents dialog are created for a document, 3PL Dynamics fills the Source No. and Language Code of each line based on the Source Type of the line in the template:

Source Type on the line Source No. Language Code
blank Sell-to Customer No. of the document Language Code of the document; when the document has no language, the language of the template line is kept
Customer Sell-to Customer No. of the document Language Code of that customer
Vendor or other values stays empty unchanged

The Source No. makes customer-specific document report details match, exactly as they do for sales documents.

Limitations

  • WMS documents have no document parties, unlike Forwarding documents. Only the Sell-to Customer No. of the document is used as the source of a document report line.
  • The Source No. is set once, when the document report lines are created for the document. When you change the customer on the document afterwards, the lines keep the original customer. With a blank Source Type the same applies to the Language Code; with Source Type Customer the language follows the customer each time you open the dialog.
  • Document Handling uses the same document reports for automatic printing and e-mailing of WMS documents. Since this change, those document report lines also receive the Source No. of the document, so customer-specific document report details that did not match before may start to match. Check existing Document Handling configurations for WMS documents after the update.
