Document Handling Letterhead

Use letterheads to add custom branding, watermarks, or additional pages to documents generated through Document Handling. You can apply letterheads as backgrounds on reports or append pages like terms and conditions to invoices and confirmations.

When to use letterheads

Use letterheads when you want to:

  • Add your company logo or branding as a background on documents
  • Apply customer-specific branding to documents
  • Add watermarks like "COPY" or "DRAFT" to documents
  • Append terms and conditions as additional pages on invoices or order confirmations
  • Include standard text or disclaimers on all documents

Set up a letterhead

To create and configure a letterhead:

  1. Choose the Lightbulb that opens the Tell Me feature. icon, enter Document Handling Letterhead, and then choose the related link.
  2. Choose New to create a letterhead.
  3. Enter a Code and Description for the letterhead.
  4. Choose Actions > Import file to upload your PDF letterhead file.
  5. Assign the letterhead to contacts in Document Handling per Contact using either:
    • Letterhead Code - Apply as a background
    • Suffix Code - Append as additional pages

Apply letterheads to documents

You can apply letterheads in two ways:

As a background (Letterhead Code)

The letterhead PDF is merged as a background behind your report content. This is useful for:

  • Company branding with logos and headers
  • Preprinted forms and templates
  • Watermarks

Configure this in the Letterhead Code field in Document Handling per Contact.

As a suffix (Suffix Code)

The letterhead PDF is appended as additional pages at the end of your document. This is useful for:

  • Terms and conditions
  • Legal disclaimers
  • Return instructions
  • Additional product information

Configure this in the Suffix Code field in Document Handling per Contact.

Examples

Customer-specific branding

Create different letterheads for each major customer with their preferred branding. Set up separate entries in Document Handling per Contact to apply the correct letterhead for each customer.

Invoice with terms and conditions

  1. Create a letterhead called TERMS with your standard terms and conditions PDF.
  2. In Document Handling per Contact, set the Suffix Code to TERMS for your invoice configuration.
  3. When invoices are generated, your terms and conditions are automatically added as the last pages.

Draft watermark

Create a letterhead with a semi-transparent "DRAFT" watermark. Apply it to test documents during development or when sending preliminary quotes.

Tips

PDF requirements

  • The PDF file you upload should have the same page size as your reports (typically A4 or Letter)
  • For backgrounds, use semi-transparent elements so your report content remains readable
  • Keep file sizes reasonable to avoid slow document generation

Combine letterhead and suffix

You can use both a Letterhead Code (background) and Suffix Code (additional pages) on the same document. For example, apply company branding as a background and append terms and conditions as suffix pages.

Reuse letterheads

The same letterhead can be used in multiple Document Handling per Contact configurations. Create a library of reusable letterheads for different purposes.
