Scan Employee
Use Scan Employee to configure users who will access the scanning application (Boltrics App). Each scan employee record defines login credentials, default settings, and device-specific configurations for warehouse operations.
When to use Scan Employee
Set up scan employees when you want to:
- Enable users to log into the Boltrics scanning application
- Configure default settings for scanning users (building, printer, startup view)
- Manage device-specific access and restrictions
- Set up driver-specific scanning configurations
- Control password requirements and security settings
Set up a scan employee
To create a scan employee:
- Choose the
icon, enter Scan Employee, and then choose the related link. - Choose New to create a new scan employee.
- In the User ID field, select the user who will log into the scanning application.
- Set a Password for scanning application login.
- Select the Default Building Code where the user will work.
- Optionally, configure:
- Default Startup View No. - The view shown when logging in
- Default Printer Name - The printer used for scanning operations
- Language - The language for the scanning interface
- Time Zone - The time zone for date/time display
Key concepts
Scan employee vs. warehouse employee
- Scan Employee - Used for logging into the Boltrics scanning application (mobile/handheld devices)
- Warehouse Employee - Used for building access permissions and default settings in Business Central
Both are typically needed for users who perform warehouse operations through scanning devices.
Employee types
Use the Type field to specify the employee's role:
- Standard - Regular warehouse employees
- Driver - Links to TMS resources for transportation-related scanning
When you select Type = Driver, you can link to a TMS Resource in the No. field.
Password security
Configure password requirements using the Required Password Quality field:
- (blank) - No specific requirements
- Strong - Passwords must meet complexity requirements
The Password Last Changed field tracks when passwords were last updated.
Employee status
Control access using the Status field:
- Active - User can log into the scanning application
- Inactive - User cannot log in (checked only during login)
Note
If you change the status while a user is already logged in, they will not be blocked until their next login attempt.
Device-specific settings
For device restrictions, configure:
- Device ID - Unique identifier for the device
- Device Name - Friendly name for the device
- Device User ID - Alternative user ID for device-specific login
This allows you to restrict specific scan employees to specific devices.
Default settings
Default building
The Default Building Code populates the *BUILDINGNO* session variable when the user logs in. This determines which building's inventory and operations the user can access.
Default startup view
The Default Startup View No. controls which scanning view appears when the user logs in. This can be customized per user to show relevant functions immediately.
Language settings
Configure language using:
- View Language Code - Language for displaying scan views
- Language ID (Region Language ID) - Language for the scanning interface
If not specified, the system uses the default language from 3PL Setup.
Time zone
The Time Zone ID ensures dates and times display correctly for users in different locations. If not specified, the system uses the default from 3PL Setup.
Tips
Link scan employees to resources
For driver operations, set Type = Driver and link to a TMS Resource. This connects scanning activities with transportation management.
Automatic building linking
When you create a scan employee, the system automatically links the user to buildings based on their warehouse employee setup.
Password management
Enforce strong passwords by setting Required Password Quality = Strong. This ensures users follow security best practices.
Monitor password changes
Use the Password Last Changed field to identify users who haven't updated their passwords recently.
