Document Handling Entries

Document Handling Entries track every document that the system generates through Document Handling Setup. Each entry shows the processing status, any errors that occurred, and gives you control over document generation and delivery.

When to use Document Handling Entries

Use Document Handling Entries to:

  • Monitor the status of generated documents
  • Troubleshoot failed document generation or email delivery
  • Manually regenerate documents after fixing errors
  • Download documents that were already generated
  • Review which documents were sent to customers and vendors

Work with document handling entries

To view document handling entries:

  1. Choose the Lightbulb that opens the Tell Me feature. icon, enter Document Handling Entries, and then choose the related link.
  2. Review the Print Status and Email Status columns to see processing results.
  3. For failed entries (status: Error), check the Exception field for error details.

Retry failed entries

When you see entries with Error status:

  1. Review the error message in the Exception field.
  2. Fix the underlying issue (for example, correct a missing email address or fix a report).
  3. Change the Print Status or Email Status back to New.
  4. The system will retry processing the entry in the next scheduled run.
Tip

You can change the status of multiple entries at once. Select the entries you want to retry, choose Edit List, and update the status fields.

Automatic retry configuration

The system can automatically retry failed entries based on settings in:

  • Document Handling Global Setup - Default retry behavior for all document handling
  • Document Handling Setup - Table-specific retry settings that override the global defaults

When automatic retry is enabled, the system:

  1. Increments the Retry Count each time it attempts to process the entry
  2. Schedules the next attempt based on the Retry Delay (Min) setting
  3. Stops retrying once the Retry Attempts limit is reached
  4. Updates the Next Retry Date field to show when the next attempt will occur

Understand status values

Status Meaning
New Document generation not yet started
In Process Currently generating the document
Ready Document generated successfully
Error Document generation failed—check Exception field
On Hold Processing paused
No Output Document generation completed but produced no output
Merged Document merged with others using Combination ID
Retry Scheduled for retry after a previous failure

Email Status values

Status Meaning
(blank) Email not configured or not needed
New Email not yet sent
In Process Currently sending the email
Ready Email sent successfully
Error Email sending failed—check Exception field
Skipped Email sending skipped (no email address or other condition)
Retry Scheduled for retry after a previous failure

Tips

Filter for failed entries

To quickly find entries that need attention, filter for Print Status = Error or Email Status = Error.

Automatic retry with delays

Configure automatic retry behavior in Document Handling Global Setup for system-wide defaults, or override it per table in Document Handling Setup. The system automatically retries failed entries after the specified delay. Check the Retry Count and Next Retry Date fields to see when the next attempt will occur.

For example, with default settings (3 retry attempts, 2-minute delay), a failed entry will be retried at 2, 4, and 6 minutes after the initial failure.

Combined documents

When multiple entries share the same Combination ID, the system merges them into a single document. The merged entries will show Print Status = Merged.
