Voyages and Schedules

Introduction

A Voyage record represents a specific journey undertaken by a primary transport asset, typically a vessel in ocean freight or potentially an aircraft. It defines the route, the sequence of stops (calls), and the planned/actual timing for that journey.

Voyages are crucial for scheduling main carriage transport and for providing accurate transit time information by linking operational documents like Shipments and Consolidation Documents to a specific, trackable journey.

Creating and Managing Voyages

  1. Choose the Lightbulb that opens the Tell Me feature icon, enter Voyages, and then choose the related link.
  2. On the Voyages list page, choose the New action.
  3. Fill in the Voyage Header details:
    • Voyage No.: A unique identifier for this journey.
    • External Voyage No.: The carrier's reference number for the voyage.
    • Means of Transport Code: The specific vessel or aircraft. See Means of Transport.
    • Carrier No.: The transport provider operating the voyage. See Carriers.

Voyage Calls

Voyage Calls represent the planned sequence of stops (ports or potentially airports/terminals) for the journey. Define these in the Voyage Calls section/FastTab:

  • Call Sequence: The order of the stops.
  • Port Code: The specific Port being called.
  • Location Type / Address: Optionally specify a more precise location like a terminal or warehouse Address within the port area.
  • Arrival (ETA / Updated / ATA): Record Estimated, Updated, and Actual Time of Arrival.
  • Departure (ETD / Updated / ATD): Record Estimated, Updated, and Actual Time of Departure.

Voyage Schedules

Voyage Schedules represent the transport legs between the Voyage Calls. These schedules are often what you link Shipments or Consolidation Documents to.

  • Generation: Schedules can often be generated automatically from the defined Voyage Calls using an action like Create Schedules.
    • Example: If calls are NLRTM -> DEHAM -> NOOSL, generating schedules from NLRTM might create legs: NLRTM-DEHAM, NLRTM-NOOSL, and DEHAM-NOOSL.
  • Selection on Documents: On a Shipment (Main Carriage FastTab) or Consolidation Document, you typically select a specific Voyage Schedule (e.g., NLRTM-DEHAM) representing the leg that document is associated with.

Linking and Date Synchronization

  • Linking: When a Voyage Schedule is assigned to a Shipment or Consolidation Document, a link is established.
  • Synchronization: Updating the ETA/ETD or ATA/ATD dates on the Voyage Calls often triggers an automatic update of the corresponding planned or actual dates in the Milestones and Events section of all linked Shipments and Consolidation Documents. This ensures operational documents reflect the latest schedule information provided by the carrier.

Voyage Currency Exchange Rates

In some scenarios, specific Currency Exchange Rates might be associated with a voyage, potentially used for costing or invoicing services related to that specific journey.
