General
Using journals are an efficient way to make ad-hoc corrections to your inventory without the need of creating a new receipt/shipment. Using a journal will also generate entries, resulting in a clear and traceable administration.
There are two main ways to create a journal entry:
1. Automatic Creation via Inventory Movement This process occurs automatically with inventory changes, such as receiving, shipping, or relocating items. These changes are recorded in the item ledger entries, which act as a "hard drive" for tracking inventory movements. If you need to trace a particular transaction, always check the item ledger entries for a detailed overview.

To Identify an Item Ledger Entry: When reviewing ledger entries, pay attention to the following:
- Entry Number (order of bookings)
- Posting Date
- Document Number: This shows the document or journal in which the transaction occurred. You can manually assign the document number during manual journal entry. Often, journals are not immediately recognized due to unknown numbering. This numbering can be found under "Warehouse Settings (3PL)" where a standard numbering system is established in cases where no document number is assigned.
Tip
You can also refer to the journal’s reason code for further information. If you want to make the reason code mandatory, activate the "Reason Code Required" option under "Item Journal Templates (3PL)".
2. Manual Creation of a Journal Journals can also be manually created when, for example, you need to adjust inventory contents or perform an administrative relocation of items.
Journals create ledger entries to ensure that all modifications are accurately recorded and that invoicing and reporting remain up-to-date.
